In today’s world, the approach to cyber security it is important that clients know where their data is being stored and how it is handled. Castor Condos utilizes four platforms to handle your data as an owner and the data of the corporation you are a co-owner of.
Google Gmail, Google Contacts & Google Drive
The bulk of the less secure information is hosted on Google servers. Files are created, handled and stored online so that that of a computer or other device will not leave your data exposed. This will include emails and files related to your unit and your corporation, but not your financial information.
Trello
Trello is an online software that allows the board of directors to correspond with each other and the manager, review files and make decisions as your elected representatives. Trello (hosted by Atlassian) is a great project management tool. This platform also will not include your financial information.
Propra
Propra hosts your community portal. This includes your personal contact information for yourself as an owner as well as for your tenants and other residents. Propra retains access to your corporate accounting information as well as owner registers. Propra does not handle payments directly and so such does not include your bank information.
Flinks
Flinks is an encryption software whose only role is to handle the transfer of funds for payment of condo fees, and to send those funds to the condominium corporation’s operating account. Flinks maintains an SOC 2 Type II standard - the highest standard of data security today available to Service Organizations with Trust Services Criteria.
The most vulnerable piece of information for most users is their banking information. When you are setting up your Autopay for the first time, you will be asked to sign in to your online banking to select an account your condo fees are to be paid from. This will pop up an i-frame (html for a page within a page) routing your chosen bank’s website. The encryption of this login is handled by your own bank, and just like the Canadian Revenue Agency, uses the same authentication that you have agreed to use with your bank. In addition to the privacy and data handling techniques these softwares offer, your condominium corporation has the required insurance policy for coverage in the event of a data breach.
